Case Study: School-application.ie, Powered by Athena Analytics

Background

School-application.ie, Powered by Athena Analytics

As well as providing academic tracking solutions to secondary schools across Ireland, Athena Analytics has a growing research and development division that is primarily concerned with finding solutions to some of the most pressing challenges in Irish education. Our R&D team is continually analysing data related to student potential, testing new approaches to academic monitoring, and is currently trying to establish the first national database of adolescence fitness norms

One such challenge relates to the post-primary school applications process. To address this, Athena Analytics created School-application.ie. This is an online post-primary school application portal that is built with Athena Analytics’ best-in-class technology.

The platform was first used to power the Limerick Area Post Primary Schools Common Application System (CAS). This case study documents this journey from initial challenge to delivering an online portal.

Challenge

The Limerick Area Post Primary Schools Common Application System was first introduced in 2005 at the request of the then Minister for Education, Noel Dempsey. CAS is a single system that manages student admissions to seventeen participating schools in the Limerick area. CAS was developed in conjunction with the Limerick Education Support Centre (LESC). The aim of CAS is to assist parents/guardians of children seeking first year places in Limerick City and surrounding area.

CAS is a first-of-its-kind in Ireland. Elsewhere in the country, families apply to multiple schools at once, making their decision only upon receiving offers and rejections from various schools. Oftentimes, the same student is offered a place in multiple schools, leading to inevitable non-acceptances and administrational headaches. At the other end of the spectrum, students may not receive any suitable offers initially, only to find that spots open as non-acceptances are confirmed.

The CAS system, however, works much like the CAO, where families fill in a single form, ranking their desired school in order of preference. Although they hope to be offered a place in their first-choice school, parents must place a number opposite a minimum of 11 schools on the list, otherwise their application is not accepted. They are then offered a place in the highest ranked school available to them.

Since 2005, this has been an entirely paper-based process. However, in 2025, Athena Analytics was tasked with streamlining this process and bringing it online.

Solution

School-application.ie was designed to bring the admissions process online, and make it simpler and more transparent for schools and parents alike. The online system allows families to apply for first year places in a matter of minutes.

Key Features

  • Ranked Application Process. Parents/guardians can list the schools they want their child to go to in order of preference.
  • One Offer Per Student. Students only receive an offer from a single school, which prevents multi-school acceptances, last-minute refusals and logjams.
  • Simple Online Application. A simple online application process allows parents to complete their child’s admission in less than five minutes.
  • Multi-Factor Authentication. Multi-device authentication and built-in validation checks prevent inconsistent and incomplete submissions.
  • Fully GDPR Compliant. Secure, compliant data handling of information, with each school only seeing applications that are relevant to them.
  • Automatic Notifications. Confirmation emails, updates and automatic guidance at every step of the way, increases accuracy and reliability.
  • Audit and Reporting Tools. Built-in auditing and reporting tools provide schools with clear oversight and accountability.
  • Edit & Review Function. Parents or guardians can review and edit their child’s application up until the closing deadline.

Result

School-application.ie was launched in October 2025 and has so far been received more than 1,000 applications from families across the Limerick area. The new system has provided several benefits for both schools and parents.

Benefits for Schools and Educational Systems

  • The online system has eliminated manual processing and replaced a sea of paperwork. The system frees up dozens of hours of administrative time, avoids human errors and allows staff to work on higher value tasks.
  • The streamlined online process has ensured consistent timelines and procedures across all participating schools.
  • Students only receive an offer from a single school, which prevents duplications, last-minute nonacceptances and administrative headaches as schools scramble to fill their remaining places.
  • The portal offers secure data management, audit trails, and complete oversight for school administrators.

Benefits for Parents

  • Single form for all participating schools saves parents time and energy.
  • Parents can review and edit their child’s application up to the closing date.
  • Unlike other systems, parents have the ability to rank schools in order of preference.
  • Parents are kept in the loop with a series of confirmation messages and updates via email or mobile.

School-application.ie has been an incredible success to date, helping the Limerick Education Support Centre and the participating schools to transform their application process. We would like to commend all involved on their pioneering approach, as well as their willingness to modernise existing systems and adapt to a digital-first world. At Athena Analytics, we are even more excited about future applications of the online portal. This highly transferable approach can easily be adapted for use by other regions or school clusters.
